One of the important aspects while setting up purchasing in Dynamics 365 Business Central is creating a vendor card. They hold all the key information required to buy products from a vendor. You can also set a template to what some of these fields are when you create a new vendor and can customize it.
When creating a Vendor Card, the only required field is the Vendor ID. But, if you add other fields like purchaser code, currency code and payment terms, it will make your life easier. I’ve highlighted some of the key fields that I recommend adding to Vendor Cards below:
General
Purchaser Code: You can assign a default purchaser code. This is essentially what is used for the approver – When you create a purchase quote, whoever creates the quote can pick the person to submit it to using the purchaser code value. If a particular vendor has the same approver, you can add the approver here.
Invoicing
Invoicing is more around taxes. The important things here are the Gen. Bus. Posting Group and Vendor Posting Group. This is what essentially assigns the AP side of the entry. It knows what to post to trade AP. It is set to default.
Currency Code: If you have a vendor that you pay in a foreign currency, you can set it here.
Payments
Payment terms are important and so that’s one area that you should definitely include.
IRS 1099 Code: If a vendor is a 1099 vendor, you need to setup the 1099 code. We usually select MISC from the dropdown. Dynamics 365 Business Central will record 1099 transactions so you can report them at the end of the year. But it will only record them if you have them set as a 1099 vendor. Also, you will need to add in their Tax ID and Federal ID No. If it’s a corporation, you can leave it blank.
Payment Method Code: The other thing that is most useful is the payment method code. This is how you separate vendors by how you pay them. The three primary types that I have seen are Wire, ACH and Check. So, you may have some vendors that are international, you always pay them by wire. Few of them by ACH or check. And what that does is when you are doing your check run, you can create separate batches. It’s a thing to think about when putting together the vendor master - what sort of category do you want to put them in - mainly for sorting, grouping, filtering. It doesn’t really drive a transaction but it’s a way to pick vendors. So, you can use it as a user defined field.
Attachments
You can also attach documents to the vendor card. For example: If you’ve got a Master purchase agreement with a vendor or a tax certificate, you can upload these documents and save it to the Vendor Master.
